Two different ways to use AI

The first is the one most people know: you open ChatGPT, type something and read what comes back. You can ask it to tidy a notice, draft a reply, summarise a long email or suggest wording for a social post. It is quick, cheap and entirely in your hands. It also needs you, every time.

The second is an agent that has been set up to do a particular job on its own: reading an incoming enquiry, writing the reply, noting the diary and telling you afterwards. It runs without you opening anything.

When the first is enough

If your need is occasional and you enjoy the tinkering, use ChatGPT yourself. Plenty of one-person firms do. A few ways it helps:

- drafting a reply to a difficult email so you can edit rather than start from nothing
- turning rough notes into a tidy description of a service
- working through the options for a job before you price it
- tidying wording on a leaflet or a post

Check anything it produces before it goes out. It can sound sure of itself and be wrong, particularly about facts such as opening hours, prices or regulations. Never type in anything you would not want shared.

When you want the second

The signs are repetition and delay. If the same task happens every day, and it gets done late or not at all because you are busy, that is a job for an agent.
